Privacy Policy
Last updated: 17 July 2026. This policy explains how personal data is collected and used in the online household record workspace, including user input, generated output, support requests, and subscription activity.
Who is responsible

What we collect
We may collect account identifiers, name, email, telephone number, subscription plan, credits activity, billing references, support correspondence, consent records, device and security logs, cookie preferences, and usage events.
Tool data can include room or area descriptions, visible observations, dates, urgency selected by the user, photo descriptions, questions, generated records, saved versions, and exported files. Do not enter passwords, access codes, payment card details, government identifiers, health data, or unrelated personal data.
Collection sources
Collection sources include data provided by you through forms, tool inputs, subscription and account actions, support messages, cookie choices, and technical requests made by your browser. Payment providers send us limited transaction, status, and customer reference data.
Why we use it and legal bases
We process data to provide requested generation and export functions, manage subscriptions and credits, authenticate administrative access, respond to support, prevent abuse, secure the service, meet accounting obligations, and establish or defend legal claims.
UK and EU legal bases include performance of a contract, steps requested before a contract, legitimate interests in operating and securing the service, legal obligations, and consent for optional cookies or communications where required. California data is used for the disclosed business purposes and not for unrelated cross-context advertising.
User input, output, files, and training
Generation requests are processed to return a structured household record. Records saved through the “Save to records” action are stored in that browser and are not synced by us. PDF data is processed transiently to create the requested download.
We do not use user inputs, generated outputs, or uploaded files to train models. If an AI provider processes a request, it does so only to return the requested output under service and data-processing terms. We may retain limited security logs and transaction records separately from tool content. Delete browser-saved records through the Records page or by clearing site data.
Who we share it with
Service providers may support hosting, infrastructure, security, transactional email, customer support, analytics where consented, payment processing, and AI processing infrastructure. They receive only the data needed for their task and are subject to contractual confidentiality and data-protection duties.
Stripe or PayPal may process payment and billing data under their own privacy terms. We receive transaction references and status information, but we do not receive or store complete payment card numbers. We may disclose data where law requires it or to protect users, the service, or legal rights.
International transfers
Some processors may handle data outside the United Kingdom or European Economic Area. Where required, we use adequacy decisions, the UK International Data Transfer Agreement or addendum, standard contractual clauses, and supplementary security measures.
How long we keep it
Support requests are generally retained for up to 24 months after closure. Billing and tax records may be retained for up to 7 years. Security logs are generally retained for up to 12 months unless needed for an investigation. Consent records are kept while relevant and for a reasonable limitation period.
Server-side generation data is kept only as needed to complete and secure the request unless a user deliberately saves it through an account feature. Browser-saved records remain until the user removes them or clears site storage.
Security
We use access controls, encrypted transport, restricted server credentials, payment-provider boundaries, logging, and least-privilege practices. No online system is risk-free, so users should minimise personal data in prompts and exports.
UK GDPR, EU GDPR, and CCPA rights
Depending on location, users may request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or information about processing. California users may request to know, correct, delete, or receive their personal information and may not be discriminated against for exercising rights.
We do not sell personal information and do not share it for cross-context behavioural advertising. To make a request, email support@spenceelectrical.shop. We may verify identity before responding. UK users may complain to the Information Commissioner’s Office; EU users may contact their local supervisory authority.
Cookies, automated decisions, and children
Essential storage supports security, admin sessions, local records, and preferences. Optional analytics require consent where applicable. The tool structures drafts but does not make legally significant automated decisions. The service is not directed to children under 18, and minors should not submit personal data.
